How to hire a virtual assistant in India: tasks, interview questions and costs
A good assistant in India can take a lot of routine work off your plate, often while you are asleep. This guide walks through how to choose the work, set the hours, interview well and get your new assistant settled. To compare with other regions, see our main virtual assistant hiring page.
Decide what you will hand over
Start with a list of tasks that eat your week but do not need you personally. Good first tasks are repeatable and easy to check: sorting the inbox, booking meetings, updating the CRM, building lead lists or entering invoices. For each task, write the steps once, even roughly. A short screen recording of you doing it works just as well. This is the single biggest thing you can do to make the hire a success. Our list of tasks to outsource to a virtual assistant has more ideas.
Set the working hours first
Decide whether you want work done overnight, live overlap with your team, or a mix. Overnight work suits reports, research and inbox clean-up. Live overlap suits tasks where your assistant needs quick answers from you, or where customers expect replies during your business day. Many assistants in India are happy to work an afternoon or night shift for US clients, but it is a real commitment, so put the hours in the job description.
Five interview questions
- Tell me about a client you supported. What did a normal day look like?
- Here is a messy email thread. How would you reply, and what would you flag to me?
- Which tools have you used for email, calendars, spreadsheets and CRMs?
- What hours can you work, and how do you handle a power or internet cut?
- Tell me about a mistake you made at work and how you fixed it.
Listen for clear, specific answers. Good assistants ask questions back, admit what they do not know and explain how they keep track of their work.
A sample job description
Keep it simple. For example: “We are looking for a virtual assistant in India to support our founder. You will manage the inbox and calendar, keep our CRM up to date, prepare a short weekly report and handle simple customer emails using our templates. Working hours overlap with US Eastern mornings. Must have: excellent written English, Google Workspace, and experience supporting overseas clients. Nice to have: HubSpot and basic bookkeeping.”
What drives the cost
Cost depends on the tasks, the experience you need and the hours. General admin costs less than specialist work such as bookkeeping or online store management. Someone who works your night as their night shift is a bigger ask than someone working normal Indian hours. Through DigiWorks you always see what your assistant earns and what goes to us. Plan around holidays and leave
Ask for your assistant’s holiday list in the first week and add it to your shared calendar. Big festivals such as Diwali can mean a few days off in a row, so plan deadlines and cover around them. Agree on how much notice you both need for planned leave, and who picks up urgent work when your assistant is away. A short handover note before any time off keeps things moving.
Make communication easy
Most problems with remote assistants come from unclear instructions, not from skill. Pick one place for requests, such as a shared task list or one chat channel, instead of spreading them across email, chat and voice notes. Say when something is urgent and when it can wait until the next day. Ask your assistant to repeat back anything complex in their own words. A short call once a week to review the work and the plan for the next week helps more than many small messages.
The first three months
In the first week, set up logins, share your written steps and start with two or three simple tasks. Check the work daily and give quick feedback. In the first month, add one new area at a time and agree on a simple end-of-day update. By the end of the third month, your assistant should run their tasks with little checking, suggest improvements and handle new requests without step-by-step notes.
Mistakes to avoid
- Handing over everything on day one instead of building up step by step.
- Sharing your own passwords instead of giving your assistant their own logins.
- Leaving the hours vague, then expecting replies during your day.
- Forgetting Indian public holidays when you plan deadlines.
- Judging the first week too quickly. Most assistants need a few weeks to learn your style, your tools and your customers before they work at full speed.
- Giving feedback only when something goes wrong. Saying what went well helps your assistant repeat it.
